Subject: Time and Absence Reporting and Essential Designations(a)
Dear Supervisor and related support staff,
HRM is working to provide current information focused on the safety and support of our employees and the mission and functions of the University. Our reporting is designed based on guidance from the Chancellor and Provost that all employees will be paid during our response to the Coronavirus. We are trusting our employees to meet their work obligations to the extent that they can as we strive to keep everyone safe and prevent the spread of the virus. While we stay consistent with our values there will be inevitable questions that arise about employee compensation and we are prepared to assist you work through those questions. Again, our first priority is making sure that all of our employees are paid.
We have created a document “Coronavirus COVID-19 Time and Absence Reporting in HR/Pay<https://humanresources.ku.edu/document/coronavirus-covid-19-time-and-absence-reporting-document>”. This document covers the new time reporting code (TRC) COV19 that must be entered into the timesheet by employees or the supervisor or shared service center staff to pay an hourly employee when they are not working. This TRC is needed for student hourly employees.
Supervisors should inform their hourly employees who use a timesheet who will enter the hours and TRC. For employees who use a clock method, the supervisor or shared service center representative will need to do the entry.

As we move to essential operations the definitions for the 3 categories of employee designations of Mission Essential On-Campus, Mission Essential Off-Site and Non-Essential can be found in this FAQ: What does essential or non-essential and on and off campus designation mean to me as an employee and what are the various designations? <http://humanresources.ku.edu/coronavirus-faqs>
We encourage you to review these materials as the Payroll Period ends this upcoming Saturday (3/21/20) and approvals will be due Monday 3/23/20 by 5:00 p.m.
