database to marine collection

Dear Members.

I work at an institute for marine investigation here in
colombia(south-america). This institute has a huge marine organisms
collection. Our work is to systematize the hole information of the
collection, that's why we would like to know if any of you have any ideas
that can help me with this subject. I would also like to know what kind of
software do you use for keeping this kind of information. Do you integer
images in your data base? Do you integer this data in any geographical
information systems?
